Embedded in the patient’s system on Main Street, The Lorenz Clinic of Family Psychology provides family-centric, culturally-sensitive mental healthcare.

Job Function
The Clinic Assistant plays an integral role within overall clinic. They serve as the point person for many patient and staff concerns related to scheduling, billing, and customer service. As such, they are uniquely situated to set the cultural tone of each site. The Clinic Assistant functions as a receptionist, and their primary role involves administrative support. This is a part-time as assigned, non-exempt, hourly position typically working afternoon and evening hours.

Key Responsibilities
The Clinic Assistant will provide support in the following areas:

o Collaboratively working with ASM to carry out development and strategic goals
o Providing insight to ASM regarding process improvement
o Serve as cultural leader within the clinic space
o In all actions, embodying and modeling spirit of social justice and collegiality
o Tasks as assigned in opening new clinic space (assisting in carrying out marketing plan, delivery coordination, etc.)
o Preparing new patient paperwork
o Organizing clipboards for new patients
o Organizing patient paperwork (e.g., copying, faxing, filing, etc.)
o Keeping form and supply inventory and communicating needs to purchasing
o Making general site repairs (e.g., changing light bulbs, etc.)
o Tidying the clinic regularly (e.g., trash, dishes, etc.)
o Monitoring vendor services (e.g., water levels, shred box, etc.)
o Sending, receiving, and distributing correspondence as directed (e.g., mail, faxes, etc.)
o Retrieving mail & distributing appropriately
o Taking credit card payments and other payments
o Providing a neat, professional first-impression to all clinic visitors
o Answering general and new patient calls
o Scheduling new and existing patients
o Maintaining clinic schedules as requested
o Patient check-in
o Handling of sensitive and confidential information
o Collections calls to delinquent accounts
o Offering clients refreshments
o Scoring and filing outcomes measures with Department of Health Staff Support
o Triage clinical staff questions related to policies and procedures
o Issue keys to new hires as directed
o Help train incoming employees re: administrative procedure
o Navigation of computer based scheduling system
o Other duties as assigned by the ASM or Director of Operations

o Bachelor’s Degree in Psychology, Social Work, Accounting, Finance, Leadership, or similar field (strongly preferred) or High School Diploma
o Excellent written and verbal communication skills
o Self-motivated and self-starting work style
o Ability to initiate and maintain self-organizational systems to ensure job tasks are completed as expected (e.g., calendar of tasks/responsibilities, etc.)
o Ability to multitask
o Perfect interpersonal boundaries
o Trustworthiness in handling sensitive information (with special preference given to candidates with HIPAA compliance knowledge and training)
o Proficiency with Microsoft Office applications
o Ability to sit for long periods of time
o Ability to operate computer software for 90% of the job
