Executive Assistant

The Position
The Executive Assistant is responsible for providing secretarial assistance to the chief executive officer and executive management staff, performing a variety of complex clerical functions. This person serves as the primary point of contact for internal and external constituencies on all executive matters.  The position is housed at the clinic system’s administrative headquarters in Victoria, MN.

Primary Job Responsibilities

  • Performs secretarial duties for executives including typing routine and confidential correspondence, drafts, reports, contracts, and memos
  • Schedules appointments for executive staff
  • Arranges travel, meetings, and events; develops itineraries and agendas, books transportation, lodging and meeting accommodations
  • Coordinates complex data reporting system, integrating from various departments
  • Drafts letters and documents; collects and analyzes important information, creates reports for executive review, initiates telecommunications
  • Prepares event briefing materials for executives
  • Serves as a liaison between departments to facilitate communication at the executive level
  • Attends executive meetings and keeps minutes
  • Protects operations by keeping information confidential
  • Prepares budgetary requests
  • Arranges interviews and serves as a point of contact for clinical applicants
  • Organizes clinical supervision and training schedules according to board requirements
  • Tracks CEUs and supervision hours for clinical trainees and staff clinicians
  • Arranges training program events; sources supplies, venues, and food and cooperates with training handlers
  • Coordinates digital and print marketing campaigns and related reporting
  • Schedules, arranges, and performs two meetings per month to connect the practice with the community and engage referral resources
  • Acts as the face of the company, professionally engaging with referring providers and resources, and advocating on behalf of the Clinic
  • Other duties as assigned

Minimum Requirements

  • At least 2 years Executive Assistant experience
  • Previous experience manipulating and presenting data
  • Bachelor’s Degree from regionally-accredited institution
  • Reliable transportation
  • Valid Minnesota driver’s license
  • Excellent written and oral communication skills
  • Ability to maintain a high level of professionalism at all times
  • Proficiency in all Microsoft applications, expertise in Excel and Word
  • Proficiency in all Google applications
  • High level of self-motivation and integrity
  • Extreme attention to detail and organization
  • Positive, team-player attitude who is adaptable to change
  • Stable and successful work or school history
  • Ability to maintain strict confidentiality
  • At least 18 years of age

Preferred Qualities

  • Bachelor’s degree in Business, Finance, Medical Administration, or similar field
  • At least 5 years executive assistant experience
  • HIPAA experience or training
  • Prior experience in healthcare, specifically the provider side
  • At least 2 years’ experience in community relations or marketing

The Clinic
Lorenz Clinic is a multi-site group psychological services practice that provides a variety of clinical services to children, families, couples, and adults. While the majority of our services are provided under the umbrella of managed care, we have community partnerships that allow us to service those without insurance. Located on the edge of the Minneapolis Metropolitan area, our four locations (Victoria, Chaska, Prior Lake, and Rosemount) are located approximately 30 miles south/southwest of downtown Minneapolis and St. Paul and provide needed psychological services to both suburban and rural communities. In addition to its clinical mission, the clinic has a vibrant clinical training program.  This position is located at our administrative headquarters in Victoria, Minnesota.
